Eano Pros Team Roles And System Access Guide

Welcome to the Eano Pros platform!

This document will help you understand the different roles within our system and what each role can access. The platform is divided into multiple components, each with distinct features that can be accessed according to your role. The table below provides a detailed breakdown of these roles and their permissions.

I. Roles Overview

There are three primary role types in the Eano Pros system:

  • Admins (Owner and Admin):

    • Full access across all features and components.
  • Internal Members:

    • Core Members: Access features based on assigned projects or tasks.
    • Superusers: Have access to the Finance feature and all features available to Core Members.
    • Field Workers: Access to clocking in/out (via the app only), assigned projects and tasks.
  • Collaborators:

    • Vendors: Limited access, primarily focusing on assigned tasks and projects, with sensitive information hidden where necessary.
    • Homeowners: Access the client dashboard to view project scopes, contracts, schedules, milestone updates, approve milestones and change orders, e-sign documents, initiate payments, and more.

 

II. System Components and Features

The platform is divided into various components, each designed to streamline different aspects of your work:

  • Dashboard: View project and invoice statistical data, manage to-dos, and more.

  • Marketing: Manage booking pages and websites, including calendar connections, booking page setup, and white-label company/personal website and material packages setup.

  • Leads: View leads, place bids, and manage cancellations.

  • Opportunities (CRM): Create and manage opportunities, send quotes, and handle project information.

  • Project Management: Manage schedules, tasks, files, finances, and communication.

  • Schedule: Create and manage schedules and tasks, view meeting details, and track project progress.

  • Work Orders: Create and manage work orders and dispatch them to vendors of your choice.

  • Chat: Communicate with your team, clients, and collaborators.

  • People: Manage your team (members and timesheets), clients, and roles within projects.

  • Finance: Handle invoices, track payments, and manage project milestones. Integrate with QuickBooks.

  • Resources: Manage milestone/scope templates and integrations.

  • Settings: Update business profiles, manage project showcases, and adjust platform and account settings.

  • Plan and Billing: View and manage subscriptions and payment details.

  • Copilot (AI Bot): Receive AI-powered assistance for best practices and various tasks.

 

Special Integrations

  • WhatsApp Integration: Collaborators can upload daily logs directly through WhatsApp for easier communication and record-keeping.

 

III. Role-Based Access

  • Admins:

    • The Owner is a special Admin account created when the Eano Pro account is set up.
    • Both Owners and Admins have complete control over all components and features, allowing them to manage the entire system without restrictions.
  • Internal Members:

    • Core Members: Typically have full access to their assigned projects or tasks. For example, they can manage opportunities, schedules, and project details for the projects they are responsible for. However, their access is limited to the projects and tasks specifically assigned to them.
    • Superusers: Core Members with additional access to all Finance features.
    • Field Workers: Access is limited to clocking in/out via the app and assigned projects and tasks.
  • Collaborators:

    • Vendors:
      • Restricted access to view only the items created by or assigned to them.
      • Sensitive information is further limited to ensure they interact only with necessary parts of the system. Example: Vendors may have "read-only" access to project schedules and documents or upload-only access for daily logs.
      • Admins can also control whether vendors can access the following features gobally:
        • Daily Log Upload
        • View Project Task
        • View Project Files
        • View Project Schedule
    • Homeowners:
      • Full access to the client dashboard to manage tasks such as viewing project scopes, schedules, and contracts; approving milestones and change orders; e-signing documents; and initiating payments.
